Tasks

Keep your to-do list in the CRM, with due dates, times, repeats and priorities, linked to a listing, contact or deal.

Add tasks, set them to repeat, link them to your work and tick them off.

Your task list is your own. Tasks are added on the Tasks page only, not from the listing pages.

Adding a task

Under Add a Task:

  • Title is the only thing you must fill in, for example "Chase the SPA signing".
  • Priority: Critical, High, Medium or Low. It starts on High.
  • Due date and Time are optional. A time needs a date.
  • Repeat: leave it on No repeat, or pick Daily, Weekly or Monthly. A repeat needs a due date.
  • Link to a listing, a contact or a deal, or any of the three. Each box searches as you type. All are optional.

Press Add task.

Repeating tasks

Once you pick a repeat, two more fields show:

  • Every: 1 for every week, 2 for every other week, and so on.
  • Until: an optional last date. It can't be before the due date.

When you tick a repeating task done, it isn't closed. It moves to its next date after today, or after its due date if you tick it early, and the row says "Done. Next:" with that date. A daily task that is three days late goes to tomorrow. A monthly task set on the 31st skips months that have no 31st.

To stop the repeats for good, press the calendar-with-a-cross button (End series) on the row. The task is marked done and won't come back. When the next date would fall after Until, ticking it done closes it too.

Working through the list

Tasks with the nearest due date come first. Those with no date sit at the bottom.

The Status buttons switch between ALL, OPEN, DONE and PARKED. Search looks through titles and notes.

Each row has a tick box and, on the right, its priority and some icon buttons. They have no text labels, so here is what each one is:

  • The pencil (Edit) changes the title, notes, priority, date, time and repeat. Press Save, or Cancel to throw the changes away.
  • The link icon adds or removes the listing, contact or deal. A choice saves the moment you make it.
  • The pause button (Park) sets a task aside without finishing it. The play button brings it back to Open.
  • The calendar-with-a-cross button (End series) shows only on a repeating task. See above.
  • The cross (Delete) removes the task straight away. There is no undo.

A linked listing, contact or deal shows on the row. Click it to open that record. If it has since been deleted, the row says so.

Deleting a listing doesn't delete its tasks. They stay on your list.

Task Tags

Task Tags, at the bottom of the page, is your own list of labels for tasks, such as "Follow up". It is kept apart from the listing Tags, so the two lists don't mix. Type a name and press Add tag; the cross on a tag removes it.

The list stands on its own: the Add a Task and Edit forms have no tags field, so you can't put a tag on a task.
